Data Deletion Instructions

You can ask AAA Digital to delete the personal information associated with your recruitment inquiry or job application. There is no charge for making a deletion request.

1. What to include

Use the subject line “Data Deletion Request” and include:

  • Your full name.
  • The WhatsApp phone number used to contact us, including country code.
  • Your email address, if you supplied one.
  • The role you applied for and the approximate application date, if known.
  • A clear statement that you want your recruitment data deleted.

Do not email identity documents unless we specifically request them. We may ask a limited follow-up question or send a verification message to the associated number or email so that we do not delete another person’s information.

2. What we will delete

After verification, the request generally covers information held in AAA.HR, including:

  • Your candidate profile and contact details.
  • Application answers, recruitment stage, notes, assessments, and interview records.
  • CVs, résumés, images, documents, voice notes, and other application files.
  • Stored copies of WhatsApp messages and associated message-status history.
  • Related reminders, workflow events, and recruitment audit records where deletion is permitted.

3. Processing time

We will acknowledge your request using the contact information you provide. Once we have verified the request, we aim to complete deletion within 30 days or within the period required by applicable law. We will tell you if we reasonably need additional information or time.

4. Information we may need to retain

We may retain limited information where required by law, necessary to establish or defend legal claims, needed for security and fraud prevention, or contained temporarily in protected backups awaiting routine replacement. Any retained information will be restricted to the required purpose and removed when that reason ends.

5. WhatsApp and Meta records

This process deletes data controlled by AAA Digital from our recruitment systems. WhatsApp and Meta may retain separate records under their own policies. To manage information held directly by those services, use the privacy and account controls provided by WhatsApp or Meta.

6. Withdrawal without deletion

If you only want to withdraw from a role or stop receiving recruitment messages, say so in WhatsApp or email us. You do not need to request full deletion to withdraw an application or stop future WhatsApp communications.
